NMLS IDs and License Tracking Options
The following license number and NMLS ID fields are available in version 4.2:
- Loan officer license number (existed in previous versions)
- Loan officer NMLS ID (new)
- Company license number (existed in previous versions)
- Company NMLS ID (new)
- Branch license number (new)
- Branch NMLS ID (new)
These fields are set up in the defaults and in the Security Manager as described below. They are also displayed on the Home screen, and are overridable on a file-by-file basis.
The Loan Officer and Company NMLS IDs are printed on the bottom of page 3 of the 1003.
BytePro has two modes for tracking these licensing fields: Standard License Tracking and Enhanced License Tracking.
- Standard License Tracking allows you to enter a single license number and NMLS ID for each loan officer, and single values for the company and branch license number and NMLS ID.
- Enhanced License Tracking, which is available in BytePro Enterprise only, allows you to enter license numbers and license number expiration dates by state for each loan officer and organization. In addition, you can enter company and branch NMLS IDs for each organization.
Standard License Tracking
To edit loan officer license information, select Security Manager > Users, and double-click on the user you wish to edit. The license number and NMLS ID are located at the bottom-left of the user information screen.
To edit the company and branch license numbers and NMLS IDs select Customize > Defaults > Company Information.
Enhanced License Tracking (BytePro Enterprise Only)
In BytePro Enterprise both the user edit screen and the organization edit screen have a list of state licenses. By default the lists are disabled. To enable the lists turn on Enhanced License Tracking by clicking on the link labeled License Tracking Option. Note that even though the license tracking option is accessed through the user or organization edit screens, it is a global setting which applies to all users and organizations. There is more information on Enhanced License Tracking below.
Added Info Locked flags to the Parties Screen
In BytePro, there are two standard user roles (Loan Officer and Loan Processor), and four customizable user roles (Other User, Other User 2, Other User 3 and Other User 4). Each one of these roles has an associated user name that links the role to a user in the Security Manager. In addition, each role has an associated party in the loan file.
In previous versions of BytePro, the link between the user in the security manager and the party in the loan file was not rigidly enforced.
Starting in BytePro 4.2, each party that is associated with a user role (Loan Officer, Loan Processor, etc) now has an Info Locked flag. When this flag is set to "Yes", the party information (name, contact information, license numbers, etc) automatically pulls from the user information in from the Security Manager. When this flag is set to "No", you can manually alter the information in the party so that it does not match the user in Security Manager.
By default, existing loan files have the Info Locked flag set to "No" while new loan files created in version 4.2 or higher have the flag set to "Yes".
To view the Info Locked flag, select Goto > Tracking > Parties, then double-click on a party that is associated with a user role (e.g. Loan Officer, Loan Processor, etc). The Info Locked flag is shown in the upper right corner of the edit screen.
Added NMLS ID field to all Cardex and Party categories. The NMLS ID fields are located next to the license number fields on the Cardex and Party edit screens.
Enhanced License Tracking (Enterprise Only)
As described above, the Enhanced License Tracking option allows you to specify license information by state for loan officers and organizations.
The screen for adding an organization's state license information allows you to choose whether the license number is a branch license number or a company license number. Generally you will enter a company license number for the top level organization, and branch license numbers for lower level organizations. However, it is possible to have both a company and branch license number for the same organization and state.
BytePro uses the subject property address to determine which license number to use. In the case of company and branch license numbers, if state license information is not assigned to the same organization that the file is assigned to, the program looks for the license information on that organization's parent organization, and so on until the top level organization is reached.
When enhanced license tracking is used, validation rules can be set up to prevent certain actions when a loan officer or organization is not licensed in the subject property state. For more information contact Byte Software technical support.
Print Logos and License Information on Documents
Added the ability to print originator and originating company NMLS and state license information in the header section of loan documents.
Choose any combination of these fields to print at the top of all forms (except the 4506T and the pre-2010 HUD1):
- Company Name
- Company License Number
- Company NMLS ID
- Loan Officer Name
- Loan Officer License Number
- Loan Officer NMLS ID
- Branch License Number
- Branch NMLS ID
To choose names and IDs to include, go to Security Manager > Documents (on the left). Put a check by each field to include.
To prevent the license information from printing on selected documents, click on the Excluded Documents button and place a checkmark next to the documents that should not have license information printed on them.
Added the ability to print your logo at the top of selected loan documents.
The option to print a logo on documents is located on the Documents screen in the Security Manager, directly below the option to print license information on documents.
If you choose to print both a logo and license information, they will share the header area. See the user guide (Standard) or admin guide (Enterprise) for more information.
Sandbox Mode
Sandbox mode allows the user to open a file and make changes, but the changes are not saved to the database. It is called Sandbox mode because it allows the user to play "what-if" scenarios with the file.
While a file is open in Sandbox mode, the user may create new GFEs, change loan programs, and add and subtract costs, all without affecting the saved file. Once the file has been opened in Sandbox mode it is impossible to save the changes to the database.
The following unique behaviors apply in Sandbox mode:
- Validation Rules and Object Permissions are suspended allowing the user to temporarily alter fields that would normally not be editable.
- The user can preview altered loan documents, but cannot print, pdf, or store those documents.
- Services, such as underwriting submissions and credit requests, cannot be accessed.
- Documents cannot be added to the document storage system.
- A large red banner at the top of each screen informs the user that the file is open in sandbox mode.
Sandbox mode can be disabled by security profile. Go to Security Profiles > Other Rights > 'Use Sandbox mode'. It is enabled by default.
To open a file in sandbox mode, click the arrow to the right of the 'Open File' button on the Loan Files screen, and choose 'Sandbox Mode'. Alternatively, right-click the file to open in the list of files, and choose 'Open in Sandbox' from the context menu.
