How do I use Market Manager?

The TQS Market Manager is an integrated component of TQS Plus, designed to help you track and manage prospects, clients, tasks and appointments. It is intended to work in conjunction with TQS Plus, but can also be used independently as a contact manager, a day timer calendar or a marketing tool.

In this presentation, we will explore the basic features of the Market Manager.

Overview

The Main Tabs - CARDEX, CALENDAR, MAILERS

The three primary functions of TQS Market Manager are identified and accessed by the three main tabs labeled Cardex, Calendar and Mailers.

1. You will recognize the term Cardex from its presence in TQS. Contact information is shared between TQS Plus and TQS Market Manager using the Cardex. Along with the basic contact information, data relating to the DESIRED LOAN and the client's LOAN HISTORY is available as well. Market Manager tracks all communications with each contact, a record of which is viewable by clicking the CONTACT HISTORY tab. You can also keep detailed notes for each contact in the NOTES section.

Completing this screen as thoroughly as possible will save time later by giving you greater access to useful features such as the ability to e-mail contacts with a mere mouse click.

2. The Calendar gives you the option of viewing and scheduling your tasks and appointments on a daily, weekly or monthly basis. You can schedule phone calls, letters or emails, appointments, tasks, personal item reminders, and holidays and other recurring events. Each of these activities displays a distinctive icon for easy recognition.

3. Mailers are promotional tools of your design, which maintain and reinforce your relationship with your clients and prospects. These mailings can range from a simple holiday greeting card to tickets or champagne, depending on the occasion. You can schedule these promotional mailers on a client-by-client basis, as you deem appropriate.

The Contact List

On the left side of your screen, the CONTACT LIST provides easy access to all your contacts.

1. With the CARDEX tab selected, you can display information for any contact by either scrolling through the list with your arrow keys, clicking on a contact with your mouse, or typing the first few letters of a contact's name.

2. With the CALENDAR tab selected, you can schedule an activity related to any contact by dragging that contact onto the calendar.

3. With the MAILERS tab selected, you can schedule a promotional task for any contact by dragging that contact onto the mailer.

Regardless of which main tab is selected, you can always schedule an activity for a contact by highlighting the desired contact and right-clicking in the CONTACT LIST space, or by choosing ACTIVITIES from the menu bar at the top of the screen.

The Menu Bar

Along with giving you access to the ACTIVITIES menu, the menu bar at the top of the screen contains some standard menus such as FILE and EDIT, as well as Market Manager features including reports and tools for importing data.


The Tool Bar

Below the Menu Bar resides the Tool Bar. The buttons contained therein aide in the navigation and data management.

1. With the CARDEX tab selected, clicking ADD or DELETE will prompt you to add a contact or delete the highlighted user. Clicking the arrow buttons will display the first or last of your alphabetically sorted contacts, or move through the list sequentially.


2. With the CALENDAR tab selected, clicking ADD will bring up the ACTIVITY FOR box to enable you to schedule an activity for the highlighted contact, and clicking DELETE will allow you to delete the selected activity. Clicking the arrow buttons scrolls through the days, weeks or months sequentially. You can always return to TODAY, and you can quick-pick the month or adjacent years from this convenient drop down menu.


3. With the MAILERS tab selected, clicking ADD will enable you to create a new promotional mailer, and clicking DELETE will allow you to delete the highlighted mailer. Clicking the arrow buttons will display the first or last of your mailers, or move through the list sequentially. Mailers can be easily sorted by clicking on the field label by which you want them sorted. Another click shifts their order from an ascending to descending

Clicking the WRITE button will display a list of prepared mail merge document templates. Data from the highlighted contact's record will be imported into the template, producing a letter to your client in seconds. You can easily prepare mass mailings by highlighting multiple contacts prior to clicking the WRITE button. Letters for all highlighted contacts will be created simultaneously.

FILTERS help you sort contacts by specific criteria, and are discussed in a separate course segment.

Although TQS Market Manager ships with useful FILTERS and MAIL MERGE DOCUMENT TEMPLATES, you can create both custom document templates and filters to suit your specific needs.

Miscellaneous

The OPTIONS box, accessed from the FILE drop down menu, gives you the option of alphabetizing your CONTACT LIST by Last Name instead of First Name, which is the default setting.

Also, it is here where you define which of the contacts in the CONTACT LIST Market Manager it to recognize as ME - the user. Several features of Market Manager depend on ME being defined. For example, the WRITE button will not be activated until ME is defined, as the letters must be sent by someone, and that someone must be the person defined as ME! We recommend that you define ME as soon as you finish viewing this presentation.

Accessed from the TOOLS drop down menu is a CASE CONVERSION tool. This tool can be used to transform records that have been recorded using all upper case letters into records that use both upper and lower cases, automatically capitalizing words and names appropriately. A calculator is available from the same menu.
